Frequently Asked Questions
Yes. Any number of staff can hold the Org Admin role, and roles stack additively. Someone can be both Child Editor and Consent Manager, for example. The one exception: Face2Name won't let you remove the last Org Admin from an organization, so there's always at least one person with full access. See Features → Roles and Permissions.
A room is a physical space (a classroom, the playground, the cafeteria, etc.) that children physically move between during the day. A class is a group of children typically organized by age band. A class can have a primary room assigned to it.
Consent records can include an expiration date, but automatic expiration notifications are not currently reliable. Until notification synchronization is corrected, staff should review consent expiration dates directly rather than relying on an in-app alert.
No. Classroom Mode is optional and is configured on each shared device where you want to use it. It lets configured teachers select their name and sign in with a 4-digit PIN instead of entering their email and password. For security, a Classroom Mode session signs out when the app goes into the background or after three minutes without activity. Staff can also sign in normally on their own devices; both methods use the same account and permissions.
Authorized administrators and editors can open Settings → Import Data in the mobile app, select children, rooms, classes, or teachers, and add up to 10 photos of existing rosters or paperwork. Face2Name extracts the records and checks for likely conflicts. You can include, exclude, and edit the results before confirming the import. See Features → AI Bulk Import.
Yes. If your account belongs to multiple organizations, you can switch the active organization in the mobile app without signing out. In the web dashboard, the organization switcher lists organizations where you are an organization administrator. After a switch, the app reloads data and permissions for the selected organization.
For a standalone organization, administrators manage the subscription from Billing in the web dashboard. If the organization belongs to an organization group, its Billing page is read-only because the subscription is managed centrally by a group administrator from the Group section. For billing assistance, email support@face2name.app.
Use the Forgot Password link on the sign-in page to receive a password-reset email. A user who can sign in normally can set or change their own Classroom Mode PIN under Settings → My PIN in the mobile app. An organization administrator can set or reset a staff member's PIN under Settings → Staff.
Yes. Operational records such as children, rooms, classes, consent records, and transitions include an organization identifier. PostgreSQL Row-Level Security enforces access using the signed-in user's active organization and roles, rather than relying only on what the app displays. Users with memberships in multiple organizations must switch their active organization to access each organization's data.
